A national food wholesaler supplements their ERP system.
Over the last 20 years Castell Howell has become firmly established as one of the country’s leading independent food wholesalers. In 1994 they introduced an ERP system to store information on stock, staff and sales, which supported them well for the first 10 years, but was costly and slow to evolve.
By 2004, their once pioneering ERP software was stretched to the limit. While it’s core functions around stock management were really solid and reliable, Castell Howell needed to store new types of information and to adapt to new ways of doing business.
One of the benefits of having an agile platform is that when a new requirement emerges (as they frequently do in large organisations), it’s often a matter of hours, sometimes minutes, to get something up and running to deal with it.
The transport department at Castell Howell wanted to put an auditing system in place to track the different types of licensing attached to their drivers and vehicles stationed across Wales and the West, all it took was call to agileChilli to explain their needs and a new system was ready and being used by the end of the day.
The new system allows managers to upload photos or scans of certificates against each driver and categorise them as a driving license, CPC or digicard.
With renewal dates logged for each class of evidence, the agileBase’s ‘chaser’ feature will automatically email people and ask them to send over their new documents well before their old ones have expired.
At Castell Howell, they set their driving license expiry reminders to be sent out 4 months before their due date and their CPC reminders 12 months in advance to allow plenty of time to plan re-certification (which in turn helps Castell Howell to efficiently plan any required training).
When new certifications arrive, they are uploaded with the automatic version control keeping a copy of the old one for reference.
Furthermore, if there are questions about the evidence and an audit trail for a record is required, a complete history can be seen by just clicking ‘see history’ at the bottom of the screen for any record.
External auditors can see that there’s a fully compliant system in place, that works regardless of location or staff and that is always up to date.
